HighGear 10.4.0 introduces an all-new formula language for extending workflows with new capabilities, a redesigned and easier-to-use editor, and an intuitive new AI Formula Assistant that enables admins to build and troubleshoot formulas in plain English. This release also brings expanded capabilities to our recently released Formula Fields feature and stronger governance for embedded content.
This release continues our focus on accelerating administrator productivity while giving your teams more powerful, self-service control over how workflows calculate and act on data.
Release Schedule
SaaS customers will be upgraded to version 10.4.0 on the following dates:
- Early Access: Saturday, September 5th
- Mainstream: Saturday, September 12th
Self-hosted customers with an active maintenance agreement will be able to download the self-installing upgrade from the HighGear customer portal starting Friday, September 25th.

New Features
New Formula Language in Workflow
HighGear 10.4.0 introduces a new more-powerful formula language and a redesigned formula editor that is significantly easier to use. Improved validation and autocomplete help admins write correct formulas the first time and catch issues before they reach production. The new AI Dashboard Assistant lets users create and update dashboards by describing what they want in plain language; no manual configuration required. Just describe the dashboard you need and watch it take shape, all through the same kind of conversational AI experience your team already knows.
The new language also adds several new functions and abilities such as:
- Create a new task for each row in a table
- Determine if a specific contact is listed in a multiple contact lookup field
- Take the minimum/maximum of a set of numeric fields
- Perform sophisticated date calculations
When you upgrade, HighGear automatically migrates your existing formulas to the new language. For every migrated formula, admins can view the original pre-upgrade formula text in a helpful tooltip next to the field, so nothing is lost and changes are easy to verify.
AI Formula Assistant
Building on HighGear’s AI Workflow and Dashboard Assistants, the new AI Formula Assistant lets admins create or modify formulas using plain-English prompts. Because it understands your process forms and fields, its suggestions are relevant to the workflow you’re building. It can also troubleshoot formula errors and propose solutions, reducing the trial and error that formula work often requires.
Enhancements
Formula Field Enhancements
We’ve made the following enhancements to our previously released Formula Fields feature:
- Reference formula fields in workflow criteria: Route work based on a calculated value.
- For example, if the calculated gross profit is greater than a set threshold, send the task down a different path.
- Business day calculations: Formula fields can now perform date calculations using business days.
- Chained formula fields: A formula field can now reference the result of another formula field.
Recurring Template Enhancements
- Visibility rules honored: When editing a recurring template, fields are now shown or hidden based on the form’s visibility rules.
- Live formula calculation: Formula fields are calculated and updated as the user interacts with the template.
Governance of Embedded Content
Expanding on the dashboard embedded page security enhancement release in 10.3.3, in 10.4.0 we’ve expanded that control into its own dedicated administrative page that now governs every embedded page across HighGear, including:
- Dashboard Embedded Pages
- Embedded Page Fields
- Dynamic Links in Iframe mode
Admins configure an allow list of approved external URLs. The first time someone references a URL that isn’t on the allow list, they’ll receive an error prompting them to add it. As with 10.3.3, the upgrade experience is seamless: the upgrader automatically populates the allow list from URLs already in use, so existing embedded content continues working without interruption.

HighGear 10.4.0 includes all features previously delivered in 10.3.1, 10.3.2, 10.3.3, and 10.3.4.
Highlights include:
- Agentic AI Workflow Node: an autonomous AI agent that evaluates and acts on tasks within admin-defined parameters as they move through a workflow, extended to read and process attached files.
- Formula Fields: calculate and display real-time values directly in forms, lists, and dashboards, evaluated at display time with no workflow logic required.
- Form Designer improvements: the addition of a spacer bar and empty-area add button for faster, more precise form layout, plus the ability to define multiple criteria within a single visibility rule.
- AI Dashboard Assistant: build and update dashboards (including lists, charts, and gauges) by describing them in plain language, with full permissions awareness.
- AI Governance: centralized administrator control over how AI features access data, with data-access controls at the process or individual-field level and the ability to enable or disable individual AI features.
Updated System Requirements
- HighGear now supports Microsoft SQL Server 2025.
- HighGear no longer supports Windows Server 2016.
